Using VEXEN

VEXEN is online software for running a service business: pipelines, contacts, website chat, a client portal, file sharing, commissions and profit. In these terms, “VEXEN”, “we” and “us” mean the business that provides VEXEN, at the address above. These terms apply to the business that creates a company in VEXEN (“you”) and to everyone you invite into it. By creating an account you agree to them, and confirm you're allowed to agree on behalf of your business.

  • You're responsible for who you invite, what roles and permissions you give them, and what they do in your company.
  • Keep sign-in details private. Owners and admins must use two-step sign-in.
  • Tell us straight away at [email protected] if you think someone has got into your account.

Plans and payment

  • Free trial: a new company gets a 14-day free trial of the Growth plan, with no card needed. Each person gets one free trial: further companies they create start ready to subscribe.
  • Plans: Starter, Growth and Scale, each one flat price per company with a set number of users included, billed monthly or yearly in advance. Prices are on our website and on the Billing page.
  • Payment: by card through Stripe. Subscriptions renew automatically until cancelled. Prices don't include taxes, which are added where required.
  • Changes: you can change plan at any time under Billing → Manage billing; the difference is worked out for the time left. If we change our prices, we'll tell account owners by email at least 30 days before it affects you.
  • Unpaid accounts: if a payment fails, we and Stripe will try again and let you know. If the subscription ends unpaid, or a trial ends without a plan, your company becomes read-only: nothing is deleted, and choosing a plan restores it.

Cancelling and refunds are covered in our refund and cancellation policy.

Your data

  • What you and your customers put into VEXEN belongs to you. We use it only to provide VEXEN to you, as described in our privacy notice.
  • You're responsible for having the right to put that information into VEXEN, and for telling your own customers how you use it (for example, people who use your website chat or client portal).
  • Owners can download the company's data at any time (Settings → Company data), and close the company, which deletes its data and files and ends its subscription straight away, without a refund for time left.

Acceptable use

Don't use VEXEN to:

  • break the law, or help anyone else to;
  • send spam or unwanted messages, or contact people who haven't agreed to hear from you;
  • share files or content that are illegal, infringe someone's rights, or contain malware;
  • try to get into other companies' data, test or break our security, or overload the service;
  • copy, resell or rebuild VEXEN, except as part of your normal use.

If an account breaks these rules, we may suspend it. Where we can, we'll tell you first and give you a chance to fix it.

Our service

  • We work to keep VEXEN available, secure and backed up, and to fix problems quickly, but we can't promise it will never be interrupted or error-free.
  • We improve VEXEN over time. If we remove something important from a paid plan, we'll tell account owners in advance.
  • Help: email [email protected]. We usually reply within one business day.

Liability

VEXEN is provided as it is. As far as the law allows: we aren't responsible for indirect losses such as lost profits, revenue, data or business opportunities; and our total responsibility for any claim is limited to what you paid us in the 12 months before it. Nothing in these terms limits anything that can't be limited by law.

Ending

  • You can cancel at any time (see the refund and cancellation policy), and an owner can close your company in VEXEN.
  • We can end these terms with 30 days' notice, and you'll be able to download your data during that time. If an account seriously breaks these terms we can suspend it straight away; we'll then send its owners a copy of their data on request, except where the law prevents it.

Governing law

These terms are governed by the laws of the State of Texas, USA. Any dispute about them or about VEXEN will be handled by the state or federal courts located in Collin County, Texas, unless the law where you are says otherwise. Before going to court, please write to us at [email protected] so we can try to sort it out together.

Changes to these terms

If we change these terms, we'll update this page and the date at the top. For important changes we'll email account owners at least 30 days before they apply. Using VEXEN after that means you accept the new terms.

Questions about these terms: [email protected].

Clear terms. One flat price per company.
